Principle Responsibilities

 
  • Support the workflow of the CEO, Belmont House Board of Directors and Belmont House Foundations Board of Directors including providing administrative and clerical assistance (agenda's, meeting minutes, internal and external correspondence)
  • Manage all duties required for the efficient daily operation of the office including mail, courier, office equipment and answering telephone inquiries
  • Organize and maintain legal filing system for all legal Company documents
  • Manage and update required Company databases
  • Maintain Company contracts and co-ordinate annual review process
  • Participate in the drafting, implementation, storage and updates of all Company Policies and forms
  • Collect and compile statistical information and submit to CEO for review and analysis
  • Plan and organize Company functions and special events
  • Support activities related to Accreditation process
  • Schedule meetings, arrange teleconferences, book meeting rooms, update online calendar
  • Maintain the Staff Learning Centre Library
  • Ensure that records management procedures for long-term records and archival records are carried out
  • Prepare mailings for events, ex. Family meetings.
  • Respect and maintain the confidentiality of Board minutes, Human Resources matters and sensitive resident, family and staff relations.
  • All other duties as assigned

Qualifications

  • Post secondary degree/diploma with 5+ years related work experience at senior level
  • Previous experience in health care environment

Behavioral & Technical Skills

  • Excellent communication skills (verbal and written)
  • Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint)
  • Self-starter with outstanding attention to detail and flexibility to handle diverse tasks
  • Strong organizational skills with the ability to exercise judgment and prioritize
  • Ability to work independently as well as in a team based environment
  • Knowledge of standard secretarial procedures and office management techniques
  • Health Record management experience is an asset
  • l procedures and office management techniques
  • Previous experience in policy development is an asset
  • Flexible availability to meet demands of the role
